Creating class email lists

Creating class email lists in Thunderbird

The purpose of this page is to assist you with the process of creating an electronic address book & class email mailing list using Thunderbird.

First, you will need to generate a class list from Callista.  You may need to see Student Services staff for this process. 

The class list should be a Comma Separated text file, eg. EDF6001.csv

 

1. Within Thunderbird, open the Address Book

2. Once open, select Import from the Tools menu:

 

The Import wizard will appear.

3. Select Address Book from the options then press the Next button:

 

4. Select Text File from the options then press the Next button:

 

5. You will then be prompted to select the Callista CSV file you received earlier.  Make sure that the Files of Type drop down menu is set to Comma Separated (*.csv).  Once you have selected the file you wish to import, click the Open button to proceed:

 

 

6. The next window allows you to match the columns from the CSV file to the columns used in the address book. 

  • Tick the First Name, Last Name and Primary Email fields in the left hand column (you can untick the rest). 
  • Select a field and use the Move Up and Move Down buttons to match the left hand column to the equivalent right hand column, e.g., the left hand field is First Name and is moved up or down until it matches the right hand column called Given Names
  • Continue to do this for the Primary Email and Last Name fields in the left hand column. 
  • When finished, click OK.

 

7. You should now see the following window.  Click Finish to continue:

 

8. You will now see the EDF6001 address book appear in the left hand column:

 

9. Go through the address book and remove blank and faulty entries. 

10. Create a mailing list of all the students within the address book by clicking on File New Mailing List:

 

NOTE: Please ensure that you are creating the new mailing list inside the appropriate address book.  The picture below shows you an example for the name of the mailing list & the Add To: drop down menu indicates where this mailing list will be created.  Once you have named the list, click OK to continue:

 

11. In the left hand panel, you will see that the EDF6001 address book can be expanded.  Click the arrow or the plus symbol to the left of the name of the new address book & you will see your new mailing list

 

12. Next, select all of the addresses in the address book and drag & drop them onto the icon of the mailing list:

 

13. Finally, check the new mailing list to ensure that it contains all the addresses from the address book. 

REMEMBER: You will have to remove the ‘extra’ copy of the mailing list that appears in the new list.
