Research publications collection procedures for staff

Procedure for Authors

Step 1 Collect hardcopy/s of all publication/s that you wish to submit to the Faculty Research Office (not submitted previously). If you are a new staff member include hardcopies of all your publications from your previous employment.

Step 2 Submit your hardcopy/s in person to the Faculty Research Office (Clayton) or to your campus based Research administrator based in Peninsula or Gippsland.   

Step 3 For each publication you only have to provide an FoR code. Please identify at least one primary Field of Research Code (FoR) for each of your publications. 

Step 4 Pass your hardcopy to the relevant research administrator for recording. Once photocopies are made the hardcopy will be returned to the author.

 

Requirements for Hardcopies

Books/Book Chapters - Provide original hardcopy of book

 

Journal Articles - Provide original hardcopy or URL from journal

 

Proceedings - Provide original hardcopy of proceedings (not flyers or programme). For CDs or online proceedings then provide copy of CD or URL of website.

 

Audio-visual - Provide hardcopy of CD or audio-visual material

 

Software – Provide software

 

Research Reports - Provide original hardcopy of report 

 

Media commentary – Provide news-clippings, radio transcripts or verification of TV interview

 

Procedure for new staff

(For publications submitted while at a previous institution and / or with a publication date prior to that required for the current collection)

For each publication you are required to provide the Administrative Officer - Research on your campus with:

  • FoR code
  • the documentary evidence supporting the inclusion of the publication in the research collection
  • please choose EXT option from the drop-down menu in relevant proforma if your publication was written when at another institution

Additional Monash publication categories for ERA

New Monash publication categories have been created for the ERA which include A1-Late, B1-Late, C1-Late and E1-Late designed for publications that would have qualified for DIISR (formerly DEEWR) in a previous collection year that were not claimed by a Monash staff or student. There is also an "EXT" category for all publication types where the student or staff member was external to Monash at the time the publication was produced (from 2002 onwards). Finally a B1-Claimed and C1-Claimed category has been introduced for C1 or B1 articles that are entirely based on claimed E1-refereed conference papers.

Procedure for Faculty Research Office

The Coordinator Research Services will review all submissions to determine whether or not the necessary evidence and verification is provided. A publication will be referred to the Publications Coordinator - Chris Siva where an academic judgement needs to be made on its eligibility for inclusion in the collection. If further judgement is required, the publication will be referred to the ADR of a humanities faculty within the University.

The publication evidence will be retained by the Faculty Research Office for a period of at least six years.
