Induction for sessional/new staff
How can I manage?
Email / computer needs
When you have your staff card, you should make yourselves known to Technical Services or ITS staff on your campus. They will set up your computer account, and longer term will be your support people for all IT queries and concerns. At Clayton, you should see Suneesh or Gordon in room 123; at Peninsula, you should see David Harris in Room A3.03, and at Gippsland, you should see the university ITS liaison staff member, Nic Wilson, at the Service Desk, Room 1E216.
- Faculty Technical Services support staff
- Faculty Technical Services support page; this has many useful links to information about creating email lists, managing SPAM, and so on.
- Faculty Technical Services support JobDesk, for requesting help. Email is not a good idea for this - your request will go to a particular person, rather than a team, and it will get lost
- Creating computer accounts
- You need to see the IT support staff to arrange this: Suneesh or Gordon at Clayton, David at Peninsula or Nic Wilson at Gippsland.
- Getting on email lists
- IT staff - all Education staff and campus lists;
- when you arrange for your computer account, ask the IT staff to put you on the Staff email lists that they manage - All Education Staff, Clayton Academic staff, Peninsula Professional staff, etc
- Gippsland ITS Services
- Gippsland ITS staff contacts
- My.Monash Portal
- A quick tour of the Monash Portal (you'll need to log in with your authcate username and password to see this page)
- Monash University Information Technology Use Policy; this informs you about the resources provided for you, and the responsibilities you have when accessing them.
- Other university pages re email software, etc
- 10 Things you should know about Monash email; this is from the Faculty of Medicine ITS support people, and is about Netscape Messenger, which is almost identical to the Mozilla Thunderbird software you will be using until you are transferred to Lotus Notes. The instructions are very basic and useful, and will apply well to your Thunderbird email software
- Getting started with Lotus Notes, including reference guides and video
- Lotus Notes
- Faculty HR people- they will manage having your details entered into the MDS (Monash Directory Service) - phone contact details, room numbers, etc. Kerry Whatley at Peninsula and Kim Meadows at Gippsland will also be able to answer questions you have
Office, keys, telephone
You need to make yourself known to the Campus Support people at Clayton and Peninsula, or Danielle Wood at Gippsland to arrange simple things like the allocation of a room, keys, assignment boxes, mailbox and photocopying account (see below for more details about this).
- Monash Directory Service; this is the central database that lists all staff, their room numbers, phone numbers and email. It is very important information, and you will want to use it to find other people. Please make sure that you own details are entered, by seeing or emailing Vicki White.
- Key to your room; this will open all teaching rooms, printing rooms and pigeon hole cupboard doors; obtain from Teck Siow at Clayton (G04) or Kerry Whatley at Peninsula (A3 11). At Gippsland, you'll need to see Danielle Wood in 2S.103 to get authorisation and a "Key issue form", to take to Facilities and Services in 3W wing.
- Mail / staff pigeon holes / sending mail out
- Pigeon holes are located in the main common room on the second floor at Clayton (room 224), at Level 3 Reception at Peninsula, and in the Pigeon Hole cupboard in the corridor just outside the Resources Room (2S.117) at Gippsland. Outgoing mail is organised by the Campus Support staff on the ground floor Enquiry Office at Clayton, Level 3 Reception at Peninsula and via the Mail Bag in room 2S.115 at Gippsland.
Day to day information
- Faculty timetables, including practicum
- EdNews - the faculty's electronic newsletter - you should always see this if your home page is set to Insite at Education; ask the IT people for help if you don't how to do this (through JobDesk)
- Monash Memo - the university newsletter
Course / unit materials
- All Unit Guides are available on Blackboard, the software used for Monash University Studies Online (MUSO). You need to ask your unit coordinator to give you access to the MUSO site. Print copies of unit guides and readers may be available from your unit coordinator.
- Orientation booklets given to students are extremely useful; they'll tell you who all the contacts for your course are, academic and professional, with email and phone contacts. Some are available online:
- Course guides, to place units in context
- Textbook(s) for unit(s) are available from the Teaching/Technology Learning Centre (TLC) on each campus
- Academic Services Staff
Teaching policies, including assessment and support materials
- Faculty web pages and handbook information links - to find details of subjects, the coursemaps will take you to individual unit codes, which link through to handbook entries, or use the course links on the left pane menu.
- Assessment policy
- Information about practicum - there is a lot of information for students here. Information sent to schools about practicum placements, standard faxes to send to practicum sites and staff , policies and protocols related to practicum visits may be available under "Staff" at the bottom of this page.
- University support materials
Printing and photocopying
- Printing for staff - provides locations of printers and Staff Resource Rooms
- Campus Support Staff
- Campus photocopying facilities and procedures; see Teck (Clayton) or Kerry (Peninsula) for access codes; at Gippsland, this will be done automatically for you after you apply for your key authorisation from Danielle . If you need scanning or copies made, please fill in forms in the photocopy room at Clayton (204) or Peninsula Level 3 Reception (A3.08/09); completed copies will be put in your pigeon hole.
Online / off campus teaching
Equipment in teaching rooms
- Central rooms - University support staff - will provide training - there are phones in all the teaching rooms so you can ring for help; it's a good idea to check out the room in advance, especially the equipment
- Small faculty rooms - Resource Centres (Room 104 at Clayton already established) have equipment and will provide help
- Booking rooms (this page lists which rooms are central, and which are faculty rooms)
- Teaching/Technology Learning Centre (TLC)
- Room comfort; rooms vary in temperature and size, so it's a good idea to check them out before the first time you use them! They can be hot/cold and crowded...
Resources in my office
- Campus Support Staff
- Resources JobDesk; use this for all requests related to your office - furniture, phone, etc, and also for stationery items that you need which are not in the open cupboards
- ITS staff - contact through JobDesk
Readings for my course
Who are my colleagues?
What resources are available to me? / Where can I find?
Refreshments - tea, coffee, lunch
- Common rooms at each campus: there are kitchens and some seating on every floor at Clayton, but the main common room is room 224; Peninsula, level 4, room A4.21; Gippsland 2S.120
- All campuses have fridges, water coolers, microwave ovens and sandwich makers, and there are coffee machines at Peninsula and Gippsland
- Toilets and showers - there are maps of all the rooms available from Facilities and Services; search by campus, then building, then room. The buildings are coded (5 & 6 at Clayton, for example, A at Peninsula, 2S at Gippsland) - this can be confusing, eg KG24 at Clayton is not in the main Education building.
- Good places to eat
Stationery
- Located in Room 203 at Clayton, Level 3 Reception at Peninsula and 2S.117 at Gippsland
- Common stationery is always in stock; if not in the open cupboards, please ask Julie or Kaye next to Room 203 at Clayton - the best time to find them is 9.30 - 11.00am, or 2.00-3.30pm, OR ring Reception (ext 52819)
- Some stationery has to be ordered (eg special books or folders, ink, and so on); please do this through the Resources JobDesk at Clayton and Peninsula; most items will be delivered within 3 days. At Gippsland, please ask Kim Meadows.
- Requests for printing / photocopying at Clayton and Peninsula; please use the forms in the photocopy rooms (Clayton, room 203; Peninsula, Level 3 reception)
Banks, hairdresser, Health Service, Counselling, weekly market
Pay and leave information
Parking information (including inter campus travel)
- University website information about parking and transport
- Travelling to Clayton, Peninsula and Gippsland
- You can buy parking permits for Clayton and Peninsula, but they can be expensive if you are not full time
- Free parking and meters
- Free parking - see the Clayton campus map (E/F 6)
- Clayton - on the NE corner of Wellington and Blackburn Roads; it's a good idea to get here before 10
- Peninsula - none
- Gippsland - all areas
- Ticket parking - Clayton (S1 & SE3), and Peninsula
- Can be expensive - you have to pay per day, not per hour in many places, but it still may be cheaper than a blue permit, especially at Clayton. You need to check the campus parking information for details of locations and rates. Gippsland has free parking.
- Intercampus travel including shuttle bus
- You will need a Yellow Parking Permit, available from your home campus, to park on a different campus. These are available from the enquiry office at Clayton and Peninsula campus. If you have a Red permit from Clayton or Peninsula, you can park in a Blue permit space on the other campuses. There is no problem at Gippsland, and you need no permits there.
- You can claim the use of private vehicle for inter campus travel; you'll need to fill in a Claim for use of private vehicle form found on the Staff forms page (under Allowances), have it signed by your supervisor, and give it to the HR people on your campus.
- The shuttle bus is a very good way to travel between Clayton and Peninsula, Clayton and Berwick and Clayton and Caulfield, and saves your petrol. Timetables vary according to campus.
- Parking in the wrong place is hazardous, and common sense does not prevail. Many people have been fined for parking in the Loading Zone outside the main education building at Clayton, while they load/unload heavy or awkward teaching materials, equipment, etc. The ring road at Clayton is a public road, and your car is not a commercial vehicle. Go to the Security people, explain what you have to do, and ask that they make appropriate arrangements for you - eg, allow you to pull up in the area between Krongold and building 6. It's much easier dealing with the helpful people in the Security building at the time, rather than trying to deal with the fine after the event.
