Faculty advice and guidelines for taking annual leave

Please note that according to the EB agreement, you can accrue up to 30 days recreational leave but after that must make arrangements to take the leave or lose it. You will be notified on your payroll slip when your annual leave balance is approaching the maximum allowable limit (i.e. 5 leave days prior) and will then be required to submit a proposal for reducing the leave balance to your supervisor within two weeks of receiving the notification.

See Workplace Policies and Procedures (WPP) website

While the Faculty will endeavour to be supportive of your particular circumstances and wishes, the approval of recreational leave is not automatic and you should take into account the operational needs of the Faculty when planning for leave. In particular:

  • Annual recreation leave will not normally be approved for a time of the year when you have particular responsibilities that must be carried out at that time.

If you are a member of academic staff, this means that recreational leave would not normally be approved during teaching and assessment periods (including Board of Examiners) or, for example, during selection periods if you are a program leader or course coordinator. Where an application is being made for a period when you have teaching, administrative or research supervision responsibilities you must document the arrangements made to cover them. You should attach the Faculty of Education Leave Form B: Arrangements to cover absence to your application for leave.

If you are a member of general staff, restrictions may apply during particularly busy periods in the annual cycle or when your particular skills and knowledge are not easily replaced, perhaps during selection and enrolment periods, or when placements are likely to be at a critical stage.
  • Teaching loads for academic staff are not reduced as a result of taking recreational leave since the assumption of four weeks annual leave is built into the annual teaching load targets. This means that recreational leave will not normally be approved at a time that prevents you from fulfilling your full teaching load requirements.
